Prompt Tool to read contents from sharepoint and provide required information to a user

Hi,

I am absolutely new to AI. I have seen that a lot of time and effort is put by IT companies and projects in order to provide Knowledge Transfer (KT) when an employee leaves and a new employee replaces them.
While going through the GenerativeAI course, I just thought what if RAG can be used for finding out the exact information that a new employee needs in order to complete his job/task faster and efficiently.
For e.g. if there is an L1/L2 issue that needs immediate resolution and the resource that has to handle the request is a new employee. This may put the new employee under tremendous pressure to resolve the issue within the SLA and hence he/she might take time to browse through the Sharepoint documentation and then get to the document, read it and then try to resolve it which can be time consuming. But if there is a tool which can expedite the process of finding out which document contains the issue details and how to resolve it, the employee can quickly and efficiently resolve the issue. This can save a lot of time, effort and cost. Any thoughts on the same?

This is a critical problem you are notifying here, you can suggest your company/team to build a small chatbot application using RAG, application like customer service chatbot, where you have prefilled questions/suggestions and you just need to click on it to get answers.
In your case you can feed all the documents to application first which you have on sharepoint and get a list of commonly coming L1/L2 problems you face and create preset questions/suggestion for them which will be visible on UI as you drill down them (same like we press 1, press3 ,press 7 etc on customer support calls, LOL), so now once you see your relative question you just need to select that question and ask and application will go through the repository of documents and search for the coherent answer(s) for you using openAI services (API transactions), if you do not find any preset suggestion for any L1 problem, have the ability to chat with the application. But while doing this you need to have very strong and to the point Prompt persona instructions for your system message, to do so prompt engg/ promt fine tuning techniques will surely help you
